Job Description

The Home Delivery Associate position at St. Mary’s Food Bank supports the daily operations of the Home Delivery Program by preparing food for distribution, coordinating delivery logistics, and ensuring order accuracy across multiple delivery providers. Responsibilities also include facilitating pickups and returns, addressing driver concerns, processing inventory, and performing staff deliveries when necessary.

Essential Functions

  • Utilize St. Mary’s Food Bank’s ERP system (CERES) to review and verify menus scheduled for distribution to clients.
  • Calculate and ensure accurate allocation of food quantities for each household based on delivery rosters and program guidelines.
  • Upload and manage client delivery rosters within third-party delivery platforms to schedule and track deliveries.
  • Prepare and stage food products for home delivery pick-up, ensuring all items meet quality and quantity standards.
  • Coordinate and facilitate the pick-up process for third-party and internal delivery providers, ensuring timely and efficient handoff.
  • Receive, document, and process product returns from third-party delivery companies, ensuring inventory accuracy.
  • Perform emergency food deliveries to clients when necessary, ensuring timely response and professionalism.
  • Collaborate with the Supervisor to order necessary program supplies in a timely and cost-effective manner.
  • Coordinate with the Supervisor to arrange additional staffing or volunteer support based on program demands.

Scope and Complexity
This role is responsible for coordinating the end-to-end logistics of St. Mary’s Food Bank’s home delivery program, including data management, inventory preparation, delivery scheduling, and on-site operational support. The position requires a high level of attention to detail, strong organizational skills, and the ability to collaborate across departments and with external partners to ensure efficient and accurate food distribution to clients.

Physical Demands/Environment Factors

  • Requires regular standing & lifting
  • Required to lift to 50 pounds.
  • Requires significant use of personal computer, phone and general office equipment.
  • Needs adequate visual acuity, ability to grasp and handle objects.
  • Needs ability to communicate effectively through reading, writing, and speaking in person, electronically or on telephone.

Minimum Qualifications

  • Minimum of High School or equivalent; associate or bachelor's degree preferred with program, social sciences, or non-profit degrees preferred
  • Minimum of three years of demonstrated experience in the customer service or non-profit field.
  • Strong organization skills, accurate, and detail-oriented
  • Strong work ethic, ability to learn quickly and adapt to change
  • Excellent communication (oral and written) skills
  • Ability to take initiative and work independently to establish and manage work priorities, activities and timelines to achieve results
  • Exhibit strong attention to detail

  • Forklift Certification
  • Previous food distribution and non-profit work experience
